Documentation required before the expert visit

Documentation for a vehicle expert report

What documents and evidence to gather for a vehicle expert report: registration certificate, technical sheet, MOT, invoices and workshop reports.

In an expert report on a vehicle, whether due to mechanical damage, discrepancies after sale, appraisal or claim to the insurer, the documentation allows proving the ownership, the condition of the vehicle, its history and the relationship with the defect or damage claimed. Decisions on judicial or extrajudicial actions correspond to the lawyer.

Vehicle administrative documentation

Circulation permit

Proves the ownership and administrative data of the vehicle.

Technical sheet (ITV card)

Includes technical data: power, category, approval, mileage if available, noted reforms.

Last current MOT

It is used to check the documentary status and detect possible defects already identified by the ITV.

Insurance in force

Current policy and particular conditions. Especially relevant in losses or claims to the company.

Purchase and sale documentation (if applicable)

When the claim arises from a recent sale:

  • Purchase and sale contract.
  • Purchase invoice or receipt.
  • Original advertisement of the vehicle if it is possible to recover it.
  • Prior communications with the seller.

In operations through platforms or dealerships, also provide the documentation provided by the seller regarding reviews or guarantees.

Maintenance history

Invoices and delivery notes

  • Invoices for official services or workshops.
  • Parts replacement notes.
  • Receipts for oil, belt, clutch, brake, and distribution changes.

Maintenance book

If there is a sealed maintenance book, provide a copy or the original for the visit.

  • Report from the workshop that diagnosed the fault.
  • Broken down repair quotation.
  • Pieces removed if they have been preserved.
  • Photographs of the damaged component.

Loss

  • Friendly accident report.
  • Report from the Civil Guard or Police if they intervened.
  • Communications with the insurer.
  • Report from the company’s expert if it has been issued.

Appraisal

  • Complete vehicle data.
  • Actual mileage.
  • Noted reforms and extra equipment.
  • Ownership history if known.

Photographs

  • Of the complete vehicle, exterior and interior.
  • From the dashboard with visible mileage.
  • Of the specific damages.
  • Frame and registration plate.

Good practices in the photo and video guide.

Vehicle Location

Indicate where the vehicle is located when requesting the report: at home, in a workshop, in a warehouse or in another location. This information conditions the logistics of the visit.
